Modification of the Agreement

Pobuca Sales reserves the right to update and change the Agreement from time to time without notice. Any new features that augment or enhance the current Service, including the release of new tools and resources, shall be subject to the Terms and Conditions of Service. Continued use of the Service after any such changes shall constitute your consent to such changes. You can review the most current version of the Agreement at any time by clicking the link in the footer of the web site.

How Pobuca Sales Works

The most important modules and features of Pobuca Sales Client and Pobuca Sales Administration are briefly described in this section.

Order- Entry Module. The features that the Order-entry module offers are the following:

Customer Management

The following Customer Management features are offered:

  • Tree-categorization of customers with unlimited depth, number of categories and number of customers
  • Each salesman can view in his PDA only the customers that have been assigned to him
  • Assign up to three different salesmen per customer
  • Determine (through Pobuca Sales Administration) the salesman route by setting visit intervals. Ability to display routes by date or by order of visit
  • Customer search by category, route description, Tax ID, code, name and by using wildcards
  • Customize the way that the customer search results are displayed
  • View customer info (addresses, phone numbers, Tax ID etc). User defined fields are also available in this screen in which custom information can be displayed
  • Edit and send applications for modification of customer data to the back-office
  • Enter comments for the customer as well as display the comments about the customer that are stored in the company ERP
  • Enter new customers

Enter Documents -Visits

Pobuca Sales can handle any kind of sales document (orders, preorders, auto delivery notes etc):

  • Record a simple visit (in case that it did not result to an order). The salesman can record all tasks he performed (e.g. collections, presentation of new products etc) and the reason that no order was taken (e.g. insufficient stock, the person in charge was away from his office etc). Finally he can define if the visit was successful or not
  • Manage multiple branches and delivery points (each salesman can view only the branches that he visits)
  • Define delivery dates – in case the salesman wants to set a different delivery date from the one that the system automatically recommends by checking holidays and availability
  • Insert comments in the document or in the document line items
  • 4 user defined fields in the document lines that the salesman can complete either with predefined values or with free text
  • Define method of payment and automatically apply the appropriate discount
  • Define shipping method
  • Tree-categorization of products with unlimited depth and number of categories and products
  • Perform product searches by category, description, code or by using wildcards. The customer product range and the available stock can also be set as parallel search criteria
  • Possibility to search products in documents’ lines
  • Possibility to store all processed lines per salesman
  • Optional calculation of sum for large orders
  • Ability to attach a barcode device and search products based on the barcode (up to 3 barcodes per product)
  • Customize the way that the product search results are displayed
  • Select and import multiple products in the document
  • Monitor and manage stock
  • Manage two units of measurement per product
  • Record customer stock and automatically recommend order quantity using multiple calculation algorithms
  • View product details (order history per product for the selected customer, monitor stock in multiple warehouses, etc)
  • Template orders
  • Manage product bundles and apply the appropriate discounts. Perform prioritization of discounts (e.g. the bundle discount is stronger than the customer discount)
  • Enter new prices
  • Display the last sale price and discount of the product for the selected customer
  • Customer credit check
  • Customer order history
  • Modify the order before sending it to the back-office
  • Print the order / customize the printing form
  • Temporary storage of the order in txt files in salesman’s device

Pricing Scenarios

The following pricing scenarios are supported by Pobuca Sales Sales:

  • Manage multiple pricelists
  • Discount per customer (applied on the sales document total)
  • Two types of discounts per product
  • Method of payment discount (applied on the order total)
  • Specific discounts for specific customers or product bundles
  • Order approval by the customer via digital signature
  • Fax Printing – Ability to send signed orders or collection receipts via fax to the customer with a simple click of a button

Order Entry Through TradeBiz Module

The features of this particular module are the ones that have been described in the Order-entry module. The basic difference is that all these functionalities are realized through an internet explorer.

ExVan Module

The features of this particular module are the ones that have been described in the Order-entry module. Since version 3.6 of Pobuca Sales a completely renewed interface that allows the ExVan users to fulfil their tasks fast and without errors is introduced. The ExVan module also provides:

  • Management and issuing of any kind of sales document (invoices, annulling documents etc) and warehouse documents (dispatch documents, warehouse balances etc)
  • Maintenance of ExVan stock
  • Automatic calculation of special discounts
  • Management of returns
  • Definition by the salesman of the new products to be loaded
  • Enter comments for every handling
  • History of handling – Document transformations
  • Print documents in customer preferred forms. Ability to customize the printing
  • Incorporate the main tax mechanisms of the market

Merchandising Module

The features of the merchandising module are the following:

  • Define the products and the categories involved in merchandising
  • Define competition
  • Record face, stock etc per point of sale
  • Record prices per point of sale
  • Record promotion activities per point of sale
  • Ability to customize scenarios for recording competition depending on the processes that each company uses
  • Reporting on the Pocket PC

Customer Ledger Card Module

The features of the Customer Ledger Card module are the following:

  • Display the customer ledger card (issued documents, issue date, amount etc) for any period
  • Display the customer aging balance
  • Display account balance and total credit
  • Print the customer ledger card

The details of the documents (e.g. document line items) are not displayed. The salesman can only view the document type and amount

Money Module

With the Money module salesmen can manage their collections and expenses:

  • Record collections (cash or check). Record check details (bank, check number, expiration date etc)
  • Modify recorded collections
  • History of collections (ability to search by date)
  • Record expenses (cash or credit)
  • Select the expense category from a list of pre-defined categories (defined by the system administrator)
  • Modify and delete the expenses
  • History of expenses (ability to search by date)
  • View salesman balance (collections / expenses in cash and checks)
  • History of collections – expenses history for periods defined by the salesman
  • Display successful and unsuccessful visits for a specific period as well as the success rate of the salesman
  • Record salesman covered kilometres on a daily base
  • History of salesman kilometres (search by date)

Sales Statistics Module

The sales statistics module is an extremely useful tool for salesmen since it allows them to get reports for sales per product for a specific period and customer:

  • Select customer (same as in the order entry module) to display statistics for
  • Select products by category, description or code to display statistics for
  • Select a particular period to display sales performed
  • Display sales (quantity and value) per product and customer for a selected period
  • Ability to drill-down per product to track the documents from which the product sales have resulted
  • Ability to follow up the progress of all orders
  • Create budgets / goals per any dimension and follow them up

Assets Management Module

  • Assets recording per customer
  • Recording of plenitude of company’s and competition’s products

Sell Out Module

  • Record sales performed on a specific date using a barcode scanner or by typing the code
  • Record sales with a date different from the current
  • Record product returns. Ability to remove the returns from the salesmen sales and goals
  • Perform inventory by point of sale. Ability to continue an older inventory or start a new one
  • Reports about total sales, total returns and inventories by date or by product
  • The salesman can monitor his progress in reaching his sales goals by product

GPS Module

  • Record and monitor the salesmen positions
  • Record the route that each salesman has followed and monitor the order of his visits
  • Record the time required to complete the route. Record the time spent at each customer
  • Display salesman routing on a digital map
  • Display additional maps with stigmas, logging and diagnostics

Surveys Module

Surveys designed by the management are available to the salesmen to be submitted to the customers.

  • Ability to set predefined or fixed answers
  • History of surveys
  • Detailed reporting
  • Possibility to calculate all registered questions per survey

Extra Features

  • Receive html messages from the back-office and answer them
  • Remote Self Update functionality
  • Battery autonomy control
  • Create applications to modify customer data, applications to enter products in the customer product range and other
  • Sales reports by date. Ability to drill-down (documents that resulted in the total sales displayed)
  • Customer or other phone number calling from Pobuca Sales (Pocket PC Phone Edition required)
  • Display of SMS messages
  • Possibility to restrict change of date in the PDA
  • Possibility to filter, classify, change of order of appearance of column and regrouping in the screen of products
  • Multilingual support (English, Greek, Bulgarian, Romanian etc). Ability to use up to 4 different languages in the same installation

Pobuca Sales Administration

Pobuca Sales Administration is the administration tool of the system. It is a web-based application through which the system administrator can organize and customize the operation of the system, manage the salesmen documents and receive important reports in regards to company sales and salesmen performance.

Settings

The basic tasks that can be performed through this Pobuca Sales Administration module are the following:

  • Set sales documents parameters (define documents, link documents etc)
  • Set warehouse documents parameters (define documents, link documents etc)
  • Manage users and access rights
  • Set printers and bar-code scanners parameters
  • Define totalizators for the creation of reports
  • Manage merchandising (define competitors, merchandising products, promotion activities, scenarios etc)
  • Manage vehicles (define vehicles, assign salesmen to vehicles, assign documents to vehicles etc)
  • Documents workflow (document status, define workflow, user rights etc)
  • Set financial documents parameters
  • Define the expense categories that will appear in the salesmen devices
  • Define visits parameters and define criteria based on which they can be considered successful or not

Data Management

In this module of Pobuca Sales Administration the system administrator can fulfil the following tasks:

  • Administration of all document types (sales, warehouse and financial documents). The system administrator can search documents by salesman, document type, document status, time period, depending on if they are imported in the ERP or depending on if they are transformed
  • Modify document line items
  • Break down documents to multiple warehouses
  • Automatic checks (using customer defined criteria) in each line item of the documents to locate possible salesmen errors (e.g. check if the quantities in each line item exceed a minimum or a maximum pre-defined limit) and "save" these documents in the system to be reviewed by sales inspectors
  • Transfer customers between salesmen (e.g. in case a salesman is on vacation)
  • Record salesmen expenses and kilometres
  • Create and send messages to salesmen
  • Define routes per salesman (visit dates, frequency etc)
  • Create template orders (agreements with customers, promote a particular product range etc)
  • Create bundles, manage and define their parameters (product prices, discounts etc)

Reports

This Pobuca Sales Administration module offers the Sales Director and the Sales Managers useful reports concerning the sales process and the performance of the salesmen; reports that cannot be drawn from the company ERP. Pobuca Sales Administration version 3.0 features SQL Server Reporting Services & Analysis Services. As a result improved reporting is offered to management and Pobuca Sales is transformed to a Business Intelligence tool that helps decisively in making the right business decisions. In particular the features offered by Pobuca Sales Administration are:

  • Dynamic and fully customizable reports
  • Multilevel reports, that allow the user to access the cumulative data of higher levels or drill – down to the level of detail he is interested in
  • Fully customizable access rights to reports and data
  • Simple access to reports through a web browser
  • Ability to export reports in many different types of files (MS Excel, MS Word, Acrobat pdf, XML, Csv etc)
  • Ability to automatically and periodically send reports to the appropriate users via e-mail
  • Multiple report formats (tables, bars, pies etc) and styles
  • Complete sales statistics
  • Expense reports
  • Merchandising reports
  • Monitor salesmen goals
  • Monitor salesmen visits, route coverage, visit success rates etc
  • Comparative reports between salesmen

Pobuca Sales Erp Connectivity

Apart from the ability to set the parameters of the connection and the integration of Pobuca Sales to the company ERP, Pobuca Sales ERP Connectivity also offers extra features that help specific daily business tasks:

  • Automatic printing of the documents that are sent by the company salesmen. Ability to fully customize the documents that will be printed (define document types, define document printing based on multiple criteria etc)
  • Break down document printing in more than one printers based on multiple criteria
  • Automatic document transformation based on multiple criteria

Notices Regarding Software

The Agreement does not grant a license to any software except to the extent required for you to use the Service. Except to the extent that applicable laws prevent Pobuca Sales from asserting every possible property right, you will not, directly or indirectly: reverse engineer, decompile, disassemble, or otherwise attempt to discover the source code, object code, or underlying structure, ideas, or algorithms of the Service, or found at or through the Service or any software, documentation, or data related to the Services (“Software”); remove any proprietary notices or labels from the Service or any Software; reproduce or copy the Software or the Service or any part thereof; modify, translate, or create derivative works based on the Services or any Software; or copy, distribute, pledge, assign, or otherwise transfer or encumber rights to the Service or any Software. Third party scripts or code, linked to or referenced from this website, are licensed to you by the third parties that own such code, not by Pobuca Sales.
In no event shall Pobuca Sales and/or its respective suppliers be liable for any special, indirect or consequential damages or any damages whatsoever resulting from loss of use, data or profits, whether in an action of contract, negligence or other tortious action, arising out of or in connection with the use or performance of software, documents, provision of or failure to provide services, or information available from the Service.
THE SOFTWARE IS WARRANTED, IF AT ALL, ONLY ACCORDING TO THE TERMS OF THE LICENSE AGREEMENT. EXCEPT AS WARRANTED IN THE LICENSE AGREEMENT, POBUCA SALES HEREBY DISCLAIMS ALL WARRANTIES AND CONDITIONS WITH REGARD TO THE SOFTWARE, INCLUDING ALL WARRANTIES AND CONDITIONS OF MERCHANTABILITY, WHETHER EXPRESS, IMPLIED OR STATUTORY, FITNESS FOR A PARTICULAR PURPOSE, TITLE AND NON-INFRINGEMENT. FOR YOUR CONVENIENCE, POBUCA SALES MAY MAKE AVAILABLE AS PART OF THE SERVICES OR IN ITS SOFTWARE PRODUCTS, TOOLS AND UTILITIES FOR USE AND/OR DOWNLOAD. POBUCA SALES DOES NOT MAKE ANY ASSURANCES WITH REGARD TO THE ACCURACY OF THE RESULTS OR OUTPUT THAT DERIVES FROM SUCH USE OF ANY SUCH TOOLS AND UTILITIES. PLEASE RESPECT THE INTELLECTUAL PROPERTY RIGHTS OF OTHERS WHEN USING THE TOOLS AND UTILITIES MADE AVAILABLE ON THE SERVICES OR IN Pobuca Sales PRODUCTS.

Trademark

You acknowledge and agree that the Service, the Software, the Pobuca Sales product names and logos, all related service names, design marks, logos, and slogans, and all other material, including marketing content, comprising the Software or the Service, are the property of Pobuca Sales or its affiliates or suppliers (collectively, the “Trademarks”). Unless stated otherwise, all Trademarks are protected as the copyright, trade dress, trademarks and/ or other intellectual properties owned by Pobuca Sales or by other parties that have licensed their material to Pobuca Sales. You are not authorized to use any of the Trademarks in any advertising, publicity, or any other commercial manner without the prior written consent of Pobuca Sales. Your use of the Service confers no title or ownership in the Service, the Software, or the Trademarks and is not a sale of any rights in the Service, the Software, or the Trademarks. All ownership rights remain in Pobuca Sales or its third party suppliers, as the case may be.
